Venue for National Level Conference
Background
Samanwaya Nepal is a non-profit organization working in Nepal to promote inclusive development, coordination, and collaboration among stakeholders at national and local levels. The organization focuses on strengthening governance, participation, and effective service delivery through partnerships with government, civil society, and development actors.
 
Samanwaya Nepal is preparing to organize a National Level Conference with partner organizations and key stakeholders to strengthen coordination, share learning, and promote collaborative action on priority development issues.
 
For this purpose, Samanwaya Nepal invites qualified hotels and service providers to submit quotations for venue and related services.
 
Details of Requirements
The venue and service provider must meet the following requirements:
  • Adequate conference hall(s) to accommodate more than 135 participants
  • Breakout rooms or spaces for group discussions (if available)
  • Audio-visual equipment (projector, screen, sound system, microphones, etc.)
  • Reliable internet connectivity (Wi-Fi)
  • Catering services (tea/coffee breaks, lunch, and/or dinner as required)
  • Availability of accommodation rooms for participants
  • Comfortable seating arrangements and a professional meeting environment
  • Power backup facilities
  • Compliance with accessibility and safety standards
 
The event is expected to take place in Kathmandu Valley from 3rd March to 5th April 2026.
 
Note: The best evaluated vendors may be included in a standing list for future event management and accommodation services for a period of one year (May 2026 – April 2027).
 
Mandatory Documents
Bidders must submit the following documents along with their quotation:
  • Company registration certificate or PAN registration certificate
  • Latest tax clearance certificate (FY 2081/082 BS)
  • VAT/PAN certificate
  • Filled copy of Samanwaya Nepal quotation form with authorized signature and official stamp
Submission of Quotation
Interested companies/hotels meeting the above requirements are requested to submit their quotation using this portal.
 
Terms and Conditions
  • Quotations must be signed and stamped by an authorized representative.
  • Samanwaya Nepal reserves the right to accept or reject any or all quotations without assigning any reason whatsoever.
  • The organization follows a zero-tolerance policy on corruption.
  • Any form of bribery, fraud, or unethical practice (including child labor or bribing public officials) will result in immediate disqualification or contract termination.
